Caddy Intelligent Operating System

Your course runs on
one system.
Not nine.

The tee sheet, the golf shop, the grill, the beverage cart, memberships, the crew board, the chemical log and the books — in a single platform where every record knows about every other one.

The problem

Most courses run nine systems
that have never met.

A tee sheet from one vendor. A POS from another. A separate F&B system, a separate membership biller, a spreadsheet for the crew, a filing cabinet for chemical records, and an accountant who re-keys all of it at month end.

Nobody has the whole picture

The GM cannot answer "what did we make today" without opening four dashboards and doing arithmetic. By the time the answer arrives, the day is over and nothing can be changed about it.

The same data, typed four times

A member's name lives in the tee sheet, the POS, the billing system and the email tool. Four records, four spellings, four versions of what they owe you.

The dangerous gaps are invisible

Your superintendent sprays a green at six. Your starter sends a group to that hole at seven. Neither system has any idea the other exists.

01
7:52am · First tee

A foursome checks in.

Two carts assign themselves from the fleet. One player is a member, so his green fee posts to his account instead of a card. The starter marks them away.

They fall sixteen minutes behind.

The course map shows it before the group behind starts complaining. A marshal is sent to the hole, not to "somewhere on the front nine".

9:31am · Beverage cart

Two beers and a wrap, in a dead zone.

No signal on 12. The sale completes anyway, held on the device and sent the moment the cart crests the hill. The member's minimum spend updates itself.

Six covers, split three ways.

Seat-level ordering, modifiers routed to the right station, auto-gratuity at six — and the terminal knows not to ask for a tip twice.

One data core

Every record knows
about every other record.

This is the whole idea. A member is one record — bookable on the tee sheet, chargeable at the bar, billable in the dues run, countable in the minimum spend, and reachable in a campaign. Not five records that a person keeps in sync.

The spray log talks to the tee sheet

Record a fungicide application with a twelve-hour re-entry interval and the system flags the groups already scheduled onto that hole. No other golf platform connects these two facts, because in every other platform they live in different products.

The beverage cart talks to the member ledger

A drink sold on 14 posts to the member's account, moves their quarterly minimum, earns loyalty points and appears on the statement that bills automatically at month end.

The tee sheet talks to the kitchen

A full Saturday sheet is a food forecast and a labour forecast. When bookings move, prep and rostering should move with them — not be guessed at on Thursday.

Everything talks to the books

Green fees, retail, dining, dues, events and tournaments each carry a department, and every department maps to a GL account. Closing the day is a button, not an evening.

Built for the way courses actually work

Four decisions that make the difference

It works when the signal doesn't

Golf courses have dead zones. Every write lands on the device first and syncs when the connection returns, so a beverage cart on 14 and a starter shack with two bars of service both keep working. The queue survives a reload.

How offline works

Payments that stay out of your scope

Card-present sales go to the terminal; recurring dues charge a vaulted token. Card numbers never touch the system, which keeps PCI exposure where it belongs — with the processor.

Payment architecture

One course or twenty

Every course is its own tenant with its own rate card, plans and merchant account. Management groups get a console across the portfolio without courses ever seeing each other's data.

Multi-property

Signals, not a black box

The system tells you what needs attention today — uncollected balances, groups off pace, stock under par, machines past service, members whose card will fail the next dues run. Every one is a rule you can read, not a prediction you have to trust.

The intelligence layer

See it running a real Saturday.

A working demo — a full tee sheet, groups on the course, an open check on the floor and the books balancing behind it. Thirty minutes, no slides.

Why CaddyIOS

The fragmentation tax.

Nobody buys nine systems on purpose. You buy a tee sheet, then a POS, then a membership biller, then something for the crew — each a reasonable decision on the day. The cost arrives later, and it never shows up on an invoice.

14h

Figures are illustrative of what operators describe, not audited benchmarks. We would rather show you your own numbers in a demo than quote a study at you.

Where it actually leaks

Four costs nobody budgets for

The reconciliation evening

Every month, someone exports four reports, matches them by hand, finds a discrepancy, and goes looking for it. That person is usually your most experienced manager, and the work produces nothing except agreement between systems that should never have disagreed.

The uncollected balance

A member charge posted at the halfway house that never reached the billing system. A green fee taken as "we'll settle later". Small amounts individually; a real number annually. One ledger means there is nowhere for money to fall.

The decision made blind

Whether to discount tomorrow's twilight depends on today's sheet, today's weather and this month's labour percentage. If those three numbers live in three systems, the decision gets made on instinct — and instinct is expensive at scale.

The risk nobody can see

Chemical re-entry intervals, cart-path restrictions, lightning holds, expired applicator certifications. These live in binders and group chats. When they live in the system that also knows where the golfers are, they stop being paperwork and start being a safeguard.

What changes

One system, and the arithmetic changes

Not because the software is clever, but because the data stops being scattered.

Membership billing

Nine systems

Export, import, chase, re-key.

CaddyIOS

Dues run charges vaulted tokens in one pass. Failures land in a dunning queue with the reason attached.

Minimum spend

Nine systems

Reconstructed from POS exports at quarter end, usually late.

CaddyIOS

Moves the moment a member buys anything, anywhere on the property. Visible to them in the app.

Food forecasting

Nine systems

A guess from last Saturday, adjusted by feel.

CaddyIOS

The tee sheet is the forecast. Bookings move, prep and rostering move with them.

Pace of play

Nine systems

A marshal driving around looking for the problem.

CaddyIOS

Position and pace per group, with the hole number, before anyone complains.

Course closures

Nine systems

Phone calls, and a sign at the first tee.

CaddyIOS

Frost delay set once, and it reaches the tee sheet, the golfer app and the bookings due out.

Month end

Nine systems

An evening of matching four systems.

CaddyIOS

Every sale already carries its department and GL account. Close the day, and the month closes itself.

Honest about the trade

One system is not automatically the right answer

A single platform means a single vendor. That is a real concentration of risk, and you should weigh it rather than take our word for it.

You can leave with your data

Full export of every record, in open formats, on request and without a support ticket. A platform that makes leaving difficult is telling you something about its confidence.

Best-of-breed still wins sometimes

If your tournament operation is genuinely specialist, or your restaurant group already runs a POS they love, keep it. We integrate rather than insist, and we will say so on the call instead of after the contract.

Migration is work

Moving a season of member history, a rate card and an open events pipeline takes weeks, not an afternoon. We do it with you before you cut over, and we will tell you if the timing is wrong.

Bring your numbers. We will show you where they go.

A demo with your rate card, your plans and your actual Saturday — not a generic tour.

Book a demo How the platform works
Platform

Built on five decisions.

Most golf software is a tee sheet with things bolted on. CaddyIOS was designed from the data model up, and these are the choices that shaped everything else.

01 · One data core

A member is one record.

Customers, transactions, inventory, employees and reservations live in a single schema. Every module reads and writes the same objects, so there is no sync, no nightly job, and no "which system is right?"

When a runner sells a beer to a member on 14, one write updates their balance, their quarterly minimum, the department's revenue, the day's journal and the beverage cart's stock. Not five systems agreeing later — one fact, recorded once.

One write, five consequences
Member ledger +$26.00 posted
Quarterly minimum $412 of $750
Beverage cart stock 2 domestic, 1 wrap
Daily journal 4200 · F&B revenue
Loyalty 26 points, Gold tier
Write queue · offline
Working offline 4 queued
order.create Alvarez +3 · hole 12 queued
payment.post Cash · $26.00 queued
reservation.update checkedIn confirmed
member.charge F&B · $18.50 confirmed
02 · Offline first

It keeps working in the dead zone.

Every write applies locally first and queues for the server. Staff never wait on a spinner, and the queue is written to storage — so a tablet that dies at the first tee still has the morning's check-ins when it comes back.

Conflicts are not resolved by timestamp. If a starter cancels a booking offline while the shop takes payment for it, a person decides — because last-write-wins is how you lose money quietly.

Works offline

Bookings, check-in, pace, orders, checks, crew tasks, agronomy records, cash and account tenders.

Needs a connection

Card authorization, dues runs, email and SMS. We will not promise an approval we cannot get.

03 · Payments

Two rails, and card numbers on neither.

CaddyIOS processes through Dejavoo. Card-present sales are sent to a terminal by its TPN; recurring charges run against a vaulted token. The card number never enters the platform, which is what keeps PCI scope where it belongs.

Card present

The counter, the bar and the beverage cart address a terminal directly. It prompts, authorizes and returns the result — tips, partial auths and voids all happen on the device.

Card not present

A $0 pre-auth captures a reusable token. Dues, deposits, no-show fees and stored-card charges run against it with no manual step and no card data at rest.

Store and forward, on a leash

Offline card capture is available where a course genuinely needs it — with a per-sale ceiling, a total exposure cap, permitted departments and automatic suspension after repeated declines. Those limits are set centrally, not by the course.

Why the leash matters. A stored offline sale is not an approval. If it declines when it forwards, the course carries the loss with no chargeback protection. That is a fine trade for a $14 beverage cart round and a bad one for a wedding deposit — so the system makes the distinction instead of leaving it to the busiest person on the property.

04 · Multi-property

One course, or a portfolio.

Every course is a separate tenant with its own dataset, rate card, membership plans, menu, terminals and merchant account. Nothing is shared unless a group chooses to share it.

Management companies get an operator console across the portfolio: health and revenue per property, subscriptions, risk policy and a full audit log. Opening a course's data from that console is itself a logged event — because the right answer to "can you see our data?" is "yes, when we need to, and here is the record".

05 · The intelligence layer

Rules you can read, not a black box.

The "I" in CaddyIOS is not a chatbot. It is the system noticing things across departments that no single department can see — and telling you plainly what it noticed and why.

Restricted-entry conflict

A hole was treated this morning and groups are due out before the interval clears.

Uncollected on the sheet

Groups that teed off with a balance still open at the counter.

Dues that will fail

Members with no usable card token before the next billing run.

Below par, with a supplier

Stock under its par level, grouped into a draft purchase order.

Machines past service

Assets over their service-hour interval, before they fail mid-mow.

Groups off pace

Position, hole and minutes behind — with a marshal one tap away.

Forecasting that genuinely needs a model — dynamic pricing, no-show prediction, demand modelling — arrives once a course has a season of its own history in the system. Before that it would be a guess wearing a lab coat.

Security & data

Boundaries enforced by the database, not by good intentions.

Tenant isolation

Every row carries its tenant, and access is enforced at the data layer — not by application code remembering to filter.

Role-based access

A starter, a bartender, a superintendent and a GM see different systems. Payment credentials sit behind their own permission tier.

Audit trail

Provisioning, plan changes, risk policy, credential rotation and vendor access to a course's data each write a line with who and when.

Your data is yours

Full export in open formats on request. Suspension never deletes anything.

Card data, never

No card number is stored, logged or transmitted by the platform. Terminals and the gateway hold that, by design.

Backups & recovery

Point-in-time recovery, tested restores, and an offline mode that means a network outage is an inconvenience rather than a closed golf shop.

Thirty minutes, and you will know.

We will run your rate card and your Saturday, and show you the parts that do not fit as readily as the parts that do.
